How is this different from a DIY seating tool?

DIY tools hand you generic table shapes and the work of building the chart. Your actual room is drawn from the venue plan and set up as a live map, your list imports from a spreadsheet, and every guest gets a personal link and QR code. It all starts with one email: no calls, no demo meetings, no software to learn.

Do we need a call or a demo meeting?

No. The live demo at the top of this page is the demo. Email your floor plan and event date, and everything after that happens by email and on your own map.

We already use another seating tool. Is switching hard?

No. Send us your venue floor plans and an export of your guest list, and we rebuild your rooms as live maps with personal links and QR codes, ready for your next event. Nothing to install, nothing for your team to learn.

What do you need from us to start?

The venue floor plan (PDF, CAD or a clear photo), your event date, and your guest or exhibitor list if you already have one. Table names and sponsor names can be added any time.

How long does setup take?

Once we have the floor plan, a first version is usually ready for your review in a day or two, with one review round included. Rooms we've already mapped are reused, so repeat events are quicker.

Do guests need to download an app or create an account?

No. The link or QR code opens in the phone's normal browser and goes straight to their seat.

Can guests see who else is at their table?

No. A guest's link shows their own name, table and seat. The public map shows tables and which seats are taken, never other guests' names or contact details.

Where does our guest list live, and who can see it?

On our own server, behind the organizer's password. Contact details and notes are never sent to the public map. You can export or delete your data at any time.

Can we bring our own data?

Yes. Guest lists and exhibitor lists come in as a spreadsheet from any system, with a preview that flags problems before anything changes. Larger organizations can ask about a direct data connection by email.

What happens with last-minute changes on event day?

Move or swap a guest and every personal link updates instantly. Printed PDFs are a snapshot, so reprint only the pages that changed.

What can we print?

Personal seat maps with QR codes (one guest, a whole table or everyone), a table-by-table roster for the registration desk, and an entrance poster with a QR code for the full map.

What if the venue Wi-Fi is bad?

The guest map is light, about the size of one photo, and loads on a weak phone signal. We also recommend a printed roster at the desk as a backup.

Can we use our own web address?

Yes. Your map can live at your own address, such as seating.yourorganization.org, with a single DNS record added by your IT team.

Can the map go on a big screen at the venue?

Yes. The same map runs on lobby screens and projectors, and custom screen features such as live check-in counts or on-screen draws can be added.
